Abstract
Purpose This study aims to investigate the usersperception on the utilisation of articial intelligence (AI) for the management of records at the
Council for Scientic and Industrial Research (CSIR) in South Africa. User perception plays a crucial role in the utilisation of AI for the management of
records at the CSIR. It is important to know the views of the users, especially how they think AI can be used for effective and efcient management
of records.
Design/methodology/approach The convergent mixed methods research was applied, and data was collected using interviews and
questionnaires. Data was analysed thematically and statistically and presented using tables and gures.
Findings This study reveals that the users were not aware of the application of AI for the management of records until the workshops, which were
facilitated by the researcher. The users are of the view that AI can be used to provide efcient storage of records, quick retrieval of records and
adequate security. This study further reveals that the CSIR is not yet ready to use AI for the management of records because of the lack of
knowledge and resources to implement AI.
Originality/value This study also proposes a framework regarding the usersperception on the utilisation of AI for the management of records at
the CSIR. It is hoped that the framework proposed will serve as a benchmark and guideline for user perception regarding the use of AI for the
management of records in the archives and records management industry.

Introduction and background
User perception may help determine the role of articial
intelligence (AI) for the management of records at the Council
for Scientic and IndustrialResearch (CSIR). It is important to
know the perceptions of the users, especially how they perceive
the utilisation of AI and robotic machines for the management
of records. Cherry (2022) denes perception as the procedure
to attain cognisance or comprehensiveness of sensory
information. Perception is a technology acceptance model
(TAM) concept that refers to the way the users of a particular
system review the utilisation of that system (Knoxet al.,2021).
Based on the literature, user perception also refers to the
attitude and behaviour of the users regarding the utilisation of
AI for the management of records (Prigg, 2017). One of the
central parts of TAM is the acknowledgedconcept of perceived
usefulness that plays a crucial role in acceptance behaviour.
Perceived usefulness refers to the perception users have about
the usage of a technology innovation, such as the utilisation of
AI for the managementof records (Ratten, 2020). The concept
also denotes the degree to which an individual believes that
using a specic systemwould improve his/her job performance.
Records management practitioners and the management
team in the records management industry should be convinced
that the utilisation of AI would enhance their records
management services (Iron Mountain, 2019a;Modiba, 2021;
Modiba, 2022). Perceived ease of use is conceptualised as to
whether an innovation is comprehensible and reliable by the
users (Durodolu, 2016). According to Ratten (2020), the
capability to use the technologyinnovation is vital for users who
are adopting the technologythat progresses at a quick rate, such
as AI. This concept also emanates from TAM. It is the degree
to which an individual believes that using a specic system
would be free of effort. For instance, the records management
practitioners should believe that the utilisation of AI would be
easy to use, the robotic machine would t well in managing
their records and produceeffective and efcient results (Jin Ma
et al., 2017;Knox et al.,2021;Modiba, 2022). The other
concept derives from TAM, which is regarded as the third
feature connected to attitude towards use. It is about the
attitudes of users towards the utilisation of a technology as an
imperative component in dening the reception of the
technology. This implies that the records management
practitioners should develop a positive attitude towards using
